Overview

The Material System helps you plan, purchase, and track all materials needed for your renovation. Instead of scattered notes and receipts, everything is organized in digital lists linked directly to budget items. Track what you need, where to buy it, how much it costs, and whether it's been ordered - all in one place.


Material System Fundamentals

What is a Material List?

A material list is a collection of items needed for a specific task or room:

Components:

  • Items: Individual products (paint, lumber, fixtures)
  • Quantities: How many needed
  • Costs: Price per unit and total
  • Vendors: Where to purchase
  • Status: Not ordered, ordered, received, installed

Creating Material Lists

Workflow:

  1. Go to Budget tab
  2. Find budget line item (e.g., "Kitchen Cabinets")
  3. In "Materials" column, click "+ Create List"
  4. Material list dialog opens
  5. List automatically linked to budget item
  6. Add items to list
  7. Costs auto-sync to budget

Method 2: Standalone List

For planning before budget:

  1. Go to Materials tab
  2. Click "+ New Material List"
  3. Enter list details:
    • List name (e.g., "Master Bath Tile")
    • Description (optional)
    • Room/area
    • Trade/category
  4. Add items to list
  5. Optionally link to budget later

Method 3: From Template

Use pre-built lists:

  1. Click "Templates" button
  2. Browse available templates
  3. Select template (e.g., "Standard Kitchen")
  4. Customize items for your project
  5. Adjust quantities and costs
  6. Save material list

  • List Name: Descriptive title
  • Description: Purpose/scope
  • Total Cost: Sum of all items
  • Item Count: Number of items
  • Status: Planning, Ordering, Complete
  • Linked Budget: Connected budget item
  • Last Updated: Recent change date

Adding Material Items

Quick Add (Top of List):

  1. Click in "Item" field
  2. Type description
  3. Press Tab → Enter quantity
  4. Press Tab → Enter unit cost
  5. Press Enter to save
  6. Item added to list

Detailed Add (Dialog):

  1. Click "+ Add Item" button
  2. Fill in all fields:
    • Item description
    • Quantity & unit
    • Unit cost
    • Vendor information
    • Product details (SKU, brand, color)
    • Notes
  3. Upload product image/spec sheet
  4. Click "Save Item"

Item Details

Basic Information

Required:

  • Item Name: What you're buying
  • Quantity: How many
  • Unit: Each, sq ft, gallon, bundle, etc.
  • Unit Cost: Price per unit

Optional but Recommended:

  • Total Cost: Auto-calculated (Qty × Unit)
  • Vendor: Where you'll purchase
  • SKU/Model: Product identifier
  • Brand: Manufacturer
  • Color/Finish: Specific details

For Paint:

  • Brand: Sherwin Williams
  • Product Line: ProClassic
  • Finish: Satin
  • Color: Agreeable Gray (SW 7029)
  • Coverage: 400 sq ft/gallon

For Flooring:

  • Type: Solid hardwood

Speed up planning:

  1. Click "Use Template" button
  2. Filter by category:
    • Kitchen

  3. Select template
  4. Preview items included
  5. Click "Load Template"
  6. Items populate list
  7. Customize as needed

Template Customization

After loading template:

Adjust Quantities:

  • Change based on room size
  • Account for waste (add 10-15%)
  • Round up to package sizes

Update Costs:

  • Get current pricing
  • Apply contractor discounts
  • Include tax
  • Add delivery fees

Modify Items:

Creating Your Own Templates

Save lists for reuse:

  1. Create material list for project
  2. Complete all items
  3. Verify costs and details
  4. Click "Save as Template"
  5. Name template
  6. Choose category
  7. Make public or private
  8. Save template

  • Use average costs (not specific to one project)
  • Include detailed specifications
  • Add notes for future reference
  • Update after each project use
  • Share successful templates with team

Budget Integration

Linking to Budget

Two-way connection:

From Budget → Materials:

  1. Budget item has "Create List" button
  2. Click button
  3. Material list created and linked
  4. Costs sync automatically

From Materials → Budget:

  1. Create material list
  2. Click "Link to Budget"
  3. Select budget item
  4. Choose sync method:
    • Auto-sync (recommended)
    • Manual sync
    • One-time link
  5. Save link

Create printable lists:

  1. Select material list
  2. Click "Generate Shopping List"
  3. Choose grouping:
    • By vendor (one list per store)
    • By category (plumbing, electrical, etc.)
    • By room (kitchen, bath, etc.)
