Overview

The Project Overview is your renovation command center - a comprehensive dashboard that provides real-time insights into your renovation project's health, budget status, timeline progress, and key metrics. This is the first thing you see when opening the Renovation tab, designed to give you a complete picture at a glance.


Dashboard Sections

1. Project Health Score

Location: Top of dashboard

The health score is an AI-powered metric (0-100) that evaluates:

Budget Health (40% weight)

  • Green (90-100): Under budget or within 5% variance
  • Yellow (70-89): 5-15% over budget
  • Red (<70): More than 15% over budget

Timeline Health (30% weight)

  • Green (90-100): On schedule or ahead
  • Yellow (70-89): 1-2 weeks behind
  • Red (<70): More than 2 weeks behind

Completion Health (30% weight)

  • Green (90-100): Milestones hitting targets
  • Yellow (70-89): Some delays in completion
  • Red (<70): Significant completion issues

Interpretation:

  • 90-100: Excellent - Project on track
  • 70-89: Good - Minor attention needed
  • 50-69: Fair - Requires management intervention
  • <50: Poor - Immediate action required

2. Key Performance Indicators (KPIs)

Location: Top row of metric cards

Four critical metrics displayed prominently:

Total Budget

  • What it shows: Sum of all budget line items
  • Click action: Navigate to Budget tab
  • Source: Aggregated from budget_line_items table
  • Updates: Real-time as budget items added/changed

Budget Spent

  • What it shows: Actual costs incurred to date
  • Calculation: Sum of actual costs from budget items + linked material lists
  • Color coding:
    • Green: <80% of budget spent
    • Yellow: 80-95% of budget spent
    • Red: >95% of budget spent (approaching limit)
  • Includes: Material costs, labor, contractor payments

Project Progress

  • What it shows: Overall completion percentage
  • Calculation: (Completed milestones / Total milestones) × 100
  • Factors:
    • Milestone completion status
    • SOW item completion
    • Checklist items marked done
  • Updates: Automatically as items are marked complete

Days Remaining

  • What it shows: Days until project target completion date
  • Calculation: Target end date - Today
  • Color coding:
    • Green: >30 days remaining
    • Yellow: 7-30 days remaining
    • Red: <7 days remaining (crunch time!)
  • Negative values: Days overdue (shown in red)

3. Budget Breakdown Chart

Location: Center-left section

Visual pie or donut chart showing:

By Category

  • Foundation & Structure
  • Plumbing
  • Electrical
  • HVAC
  • Flooring
  • Kitchen
  • Bathrooms
  • Exterior
  • Landscaping
  • Permits & Fees
  • Contingency

Interactive Features

  • Hover: See exact dollar amount and percentage
  • Click segment: Filter budget tab to that category
  • Legend: Toggle categories on/off
  • Export: Download chart as image

Data Display

  • Shows both planned budget and actual spent
  • Variance highlighted in red/green
  • Percentage of total budget for each category

4. Timeline Visualization

Location: Center-right section

Gantt chart-style timeline showing:

Milestones

  • Start and end dates for each phase
  • Current phase highlighted
  • Completion status (not started, in progress, complete)
  • Dependencies between phases

Key Dates

  • Project start date
  • Target completion date
  • Draw request dates
  • Inspection dates

Progress Indicators

  • Today's date marker (vertical line)
  • Completed sections (green fill)
  • In-progress sections (yellow fill)
  • Future sections (gray outline)

5. Recent Activity Feed

Location: Right sidebar

Real-time log of project changes:

Activity Types

  • Budget changes: New items added, costs updated
  • Milestones: Started, completed, delayed
  • Materials: Lists created, items ordered
  • Time entries: Labor hours logged
  • Photos: New evidence uploaded
  • SOW updates: Work items added/modified

Display Format

6. Quick Actions Panel

Location: Top-right corner

Fast access buttons for common tasks:

Primary Actions

  • 📋 Add Checklist Item → Quick task addition
  • ⏱️ Log Time → Record labor hours
  • 📸 Upload Photo → Add project evidence

Secondary Actions

  • 📊 Generate Report → Create PDF summary
  • 🎯 Create Milestone → Add new phase
  • 🔧 Add SOW Item → Define new work
  • 📦 Create Material List → Start materials tracking

7. Alerts & Notifications

Location: Below KPIs, yellow/red banner

System alerts for issues requiring attention:

Budget Alerts

  • Warning: Budget item >15% over estimate
  • Critical: Total budget >95% spent
  • Info: Budget item marked as "Completed"

Timeline Alerts

  • Warning: Milestone >3 days behind schedule
  • Critical: Milestone >7 days overdue
  • Info: Upcoming milestone starting in 2 days

Action Alerts

  • Warning: No time entries in 7 days
  • Critical: Draw request ready but not submitted
  • Info: 5+ checklist items ready for review

Alert Actions

Each alert includes:

  • Clear description of issue
  • "View Details" link (navigates to relevant tab)
  • "Dismiss" option (hides for 24 hours)
  • "Resolve" button (marks as addressed)

From Project Overview, you can navigate to:

  1. SOW (Scope of Work) - Define all work items
  2. Budget - Track costs and spending
  3. Materials - Manage material lists
  4. Milestones - Track project phases
  5. Time - Log labor hours
  6. Checklist - Task management
  7. Charts - Advanced visualizations

Workflow Logic: The tabs are ordered to match the natural project flow:

  1. Plan (SOW) → 2. Budget → 3. Buy Materials → 4. Track Progress (Milestones/Time) → 5. Check Quality (Checklist) → 6. Analyze (Charts) → 7. Document (Reports)

Advanced Features

Project Settings

Access: Gear icon (⚙️) in top-right corner

Configure project parameters:

General Settings

  • Project Name: Display name for renovation
  • Property Address: Auto-populated from property
  • Start Date: When demolition/work began
  • Target End Date: Planned completion date
  • Project Type: Cosmetic, Heavy, Full Gut, etc.

Budget Settings

  • Contingency %: Reserve percentage (default 10%)
  • Labor Rate: Default hourly rate for DIY time
  • Markup %: Contractor markup (if applicable)
  • Currency: USD, CAD, etc.

Notification Preferences

  • Email alerts for budget overruns
  • SMS notifications for milestone delays
  • Weekly summary reports
  • Daily digest enabled/disabled

Access: Download icon (⬇️) in top-right corner

  • Complete project summary

  • All budget line items

  • Raw data for all tables

  • Use case: Integration with accounting software

Integration with Other Features

How it works:

  • Renovation budget feeds into ARV calculations
  • "Rehab Cost" in ARV = Total renovation budget
  • Updates automatically as budget changes
  • View ARV impact from Overview dashboard

Navigation:

  • Click "View ARV Analysis" button
  • Opens ARV Calculator with current costs pre-filled
  • See ROI impact of budget changes in real-time

What's included:

Use case:

  • Compare total investment (purchase + rehab) vs ARV

Calendar Integration

Milestone dates sync to calendar:

  • Each milestone start/end date creates calendar event
  • Calendar events show on property calendar
  • Reminders for upcoming milestones
  • Shared with team members

Best Practices

Dashboard Hygiene

  1. Check Daily: Review health score and alerts each morning
  2. Update Actuals: Log costs and time entries within 24 hours
  3. Monitor Budget: Check variance weekly
  4. Track Progress: Update milestone completion regularly
  5. Address Alerts: Resolve notifications promptly

Using KPIs Effectively

Budget Management:

  • Set contingency at 10-15% for unknowns
  • Update actual costs as invoices received
  • Flag items going over budget immediately
  • Review budget breakdown monthly

Timeline Management:

  • Set realistic milestone dates (add buffer)
  • Update start/end dates as plans change
  • Mark milestones complete promptly
  • Adjust remaining milestones if delayed

Progress Tracking:

  • Break work into measurable milestones
  • Define clear completion criteria
  • Use checklists for quality control
  • Photograph completed work

Team Collaboration

If working with contractors:

  • Share project overview with team
  • Use activity feed for transparency
  • Set up email notifications for changes
  • Generate weekly progress reports

If solo investor:

  • Log your own time (captures sweat equity value)
  • Photo document everything
  • Keep notes in activity feed
  • Export data for tax purposes

Troubleshooting

"Health Score Seems Inaccurate"

Possible causes:

  • Milestones not updated with actual completion dates
  • Actual costs not logged in budget items
  • Material costs not synced from material lists

Solution:

  1. Go to Budget tab → Click "Sync Material Costs"
  2. Go to Milestones tab → Update completion dates
  3. Review recent activity for missed entries
  4. Allow 5 minutes for health score to recalculate

"Budget Spent Doesn't Match Reality"

Common issues:

  • Material lists not linked to budget items
  • Actual costs field left empty
  • Duplicate entries counting twice

Solution:

  1. Check each budget item for "Actual Cost" field
  2. Verify material lists are linked (look for badge)
  3. Use "Sync All" button to recalculate totals
  4. Check for duplicate line items (same description)

"Timeline Shows Overdue But Project On Track"

Why this happens:

  • Original target dates not updated
  • Milestone dates need adjustment
  • Scope changes not reflected in schedule

Solution:

  1. Go to Milestones tab
  2. Click "Edit" on each milestone
  3. Update target end dates to reflect reality
  4. Save changes
  5. Timeline will adjust automatically

"No Recent Activity Showing"

Possible causes:

  • No changes made recently (expected)
  • Activity log filter enabled
  • Browser cache issue

Solution:

  1. Check filter dropdown (set to "All Activity")
  2. Refresh browser page (F5)
  3. Make a test change (add budget item) to verify logging works
  4. Clear browser cache if persistent

Daily Standup Routine

Time: 5 minutes each morning

  1. Open Project Overview
  2. Check health score (note any red flags)
  3. Review alerts (address critical items first)
  4. Check activity feed (see what team did yesterday)
  5. Log any time/costs from previous day
  6. Identify today's priorities from milestones

Weekly Progress Review

Time: 30 minutes every Monday

  1. Review all 4 KPIs (screenshot for records)
  2. Compare budget spent vs planned
  3. Check milestone progress (update dates if needed)
  4. Review budget breakdown (any categories over?)
  5. Generate weekly report PDF
  6. Email report to stakeholders/lender
  7. Plan next week's priorities

Monthly Investor Update

Time: 1 hour end of month

  1. Export project data to Excel
  2. Generate comprehensive PDF report
  3. Screenshot dashboard with key metrics

  5. Prepare before/after photos
  6. Calculate ROI with current numbers
  7. Send update package to investors

Pre-Draw Request Checklist

Before requesting lender draw:

  1. Verify milestone marked "Complete"
  2. Check all budget items for milestone have actual costs
  3. Upload photos for milestone work
  4. Generate draw request report PDF
  5. Include contractor invoices
  6. Review lender draw schedule
  7. Submit with required documentation
